REQUEST FOR WINTER SAND PROPOSALS, September 14, 2023
PROPOSALS due 12:00 P.M. September 28, 2023
The Town of Wilmington is accepting proposals for 4,000 +/- cubic yards of winter sand to be delivered to the town garage site on Haystack Road (The quantity may be increased to meet additional requirements.)
The Town of Wilmington reserves the right to reject any sand that does not meet the specifications. The successful bidder shall be required to produce a sufficient quantity to allow for preliminary testing of the sand to ensure compliance with the specifications. Preliminary samples will not assure acceptance of the product, but will serve as proof that the source is capable of producing a material that does meet the specifications. Job samples taken at the time of production or delivery will determine compliance to the specifications.
Specification: The sand shall be washed or screened; surface dry; consist of clean, hard durable grains; uniformly graded from coarse to fine; and free from dirt and deleterious material.

* This does not mean a 3/4″ slotted screen but a 3/4″ square opening for standard sieve sizes.
The sand shall be delivered on a schedule arranged with Road Supervisor Sheldon Brassor.
Please submit your proposal as:
- Sand Alone (per cubic yard);
- Hauling Alone;
- Both Sand and Hauling.
Insurance Requirements Upon Contract Approval:
Certificate of Liability Insurance in the minimum amount of $1,000,000, naming the Town of Wilmington as an additional insured and a Certificate of Workers’ Compensation Insurance is required. The Federal W-9 Form will be completed and returned to Town, if applicable.

The Town of Wilmington reserves the right to advertise for new proposals; to request additional information from any or all submitters; to negotiate or consult with any source or RFP submitter; to cancel in whole or in part this RFP; to accept or reject any and/or all proposals, in whole or in part, with or without cause; to waive any informalities, formalities, and technicalities in the process; and to make awards in any manner that is deemed to be in the best interest of the Town.
